Staff and JCR guide to the Welcome schedule
Help and how-tos including guidance on viewing, booking and editing your events.
How do I see what a student would see?
Visit the Welcome schedule. At the top is a section containing filters. You can use the filters to select level of study, course and college. Once you have chosen your options, you will see all the events available to students that fit that profile. The schedule will also available to incoming students on the Student Portal and iLancaster.
How do I add further events?
1. Find a time slot. Take a look at the schedule before choosing a convenient time and location for your additional event.
2. Book your room by sending a request to room.bookings@lancaster.ac.uk. The team operates on a first come, first served basis. You’ll receive confirmation when a room has been allocated.
3. Add your event to the Welcome Week schedule.
- If you are from an Academic Department or Faculty, please visit iLancaster here to input the details. There are guides available on how to do this. If you have any problems please contact the ISS Service Desk.
- If you are from a College, JCR or Students' Union then please add your event to Union Cloud. For assistance email help@lancastersu.co.uk. You can also see a list of the correct tags to use below.
- If you are from Professional Services (non-academic department) then just email Luke Davis (l.davis@lancaster.ac.uk) with details and your event will be input on your behalf.
Union Cloud Tagging
To ensure the right events appear for the right people, please use the following tags when inputting events to Union Cloud:
- Are you using Union Cloud?
Use: ‘Welcome’
- Is your event essential?
Use: ‘Essential’
- Can undergraduates attend?
Use: ‘Undergraduate’
- Can postgraduates attend?
Use ‘Postgraduate’ and ‘Graduate College’
- Is it for students from all colleges?
Use ‘9 Colleges’
- Is it for students from one or more specific colleges?

How do I request changes to the schedule?
To update an item on the schedule please email Luke Davis at l.davis@lancaster.ac.uk.
To also change a room booking, please email Room Bookings at room.bookings@lancaster.ac.uk.
How do I report a technical problem?
Please report the problem to the ISS Service Desk.
How do I get a printed copy?
A ‘Print’ button is available near the top of the Welcome Schedule. It will generate a printable version that you can print from your device.
How do I put a version of the Welcome schedule on my department/college website?
