Event Terms & Conditions

These terms and conditions are applicable to employers booking space at one of our careers events or other related services.

Lancaster University Employer Event – Terms & Conditions
(updated March 2025)

  • “Employer Event”; includes Exhibitions Space, Careers Fairs, Employer Presentations or workshops, Sector Events, Drop-Ins, and bookings of meeting rooms/interview facilities for both in-person and online events. For the avoidance of doubt reservations of Employer Events are made subject to the availability of space and our acceptance of your application. The initial booking form constitutes a provisional booking, which will be confirmed by the Employer Engagement team via CareersConnect or an email. Once you have received confirmation, cancellation charges may apply for non-attendance (subject to timescale and reason for cancellation).
  • Stand/venue location is subject to availability and allocated by the Employer Engagement team.
  • We accept no responsibility for any loss or damage from any cause whatsoever in respect to any property brought or sent to event venue. Exhibitors are responsible for ensuring that couriers and agents collect all equipment and unused materials.

  • We seek to offer our students the most appropriate range of organisations for each event and therefore reserve the right to decline a booking request.
  • We do not promote organisations that advertise opportunities requiring an upfront cost, freelancing or unpaid positions, apart from volunteering roles for a UK registered charity.
  • The Employer Engagement team will actively promote employer events to students, however, cannot guarantee student attendance.
  • You shall use all reasonable endeavours to provide all the necessary information required by the Employer Engagement team and CareersConnect. We do not accept responsibility for any inaccurate information provided and subsequently published to students.
  • You must have in place adequate insurance to cover your obligations and liabilities under this agreement. Evidence of such insurance must be made available to the Lancaster University Employer Engagement team upon reasonable request.
  • You may not use the name and/or logo of Lancaster University and/or any of its departments OR any photographs of any part of the University without the prior written permission of Lancaster University.
  • The University reserves the right to cancel any event or service at its sole discretion at any time prior to the date for providing that event or service. Where such a cancellation takes place, the University will notify you in writing by email of that cancellation as soon as possible.
  • For on-line events, the event may be recorded then shared internally and/or externally. Please let the Employer Engagement team know in advance of the employer event if you do not wish the session to be recorded.
  • For fee paying events, our cancellation policy is four weeks before the event 50% charge, and two weeks before the event 100% charge. Payment will be taken online (separate payment link emailed following receipt of booking form). Bookings will be confirmed following receipt of full payment.
  • Funds received from attendance at Careers Fairs is used to cover costs incurred delivering the Careers Fair, as well as other careers and employability activity for the benefit of our students.
  • You must ensure compliance with the University’s specifications for the event/activity, in particular relating to its management of risk, health, and safety.
  • You must have full Public Liability and Employee Liability Insurance in place to cover your activity at the University under this booking.
  • Except in circumstances where the University is proven to be negligent, in consideration of the University permitting the organisation to use its spaces, your organisation agrees it will be responsible for, and will release and indemnify the University, its servants and agents from and against all liability for:- (a) personal injury (whether fatal or otherwise); (b) loss or damage to property and; (c) any other loss, damage, cost or expenses; which may arise in any manner howsoever which but for the exercise of such permission would not have arisen.
  • You agree that you are booking a University student engagement event and as such should be regarded as an extension of the professional workplace and learning environment. All representatives of your organisation visiting the University will conduct themselves in a manner which is professional and inclusive and will not cause nuisance or disturbance to the University community or other visitors.
  • You understand that in keeping with UK law and established UK academic practice, the University is committed to upholding free speech and to the practice of academic freedom free from undue influence.
  • The University cannot be liable for any failure to, or delay in carrying out, any of its obligations under this booking agreement where that delay or failure is caused by an event outside our reasonable control (force majeure).
